如何寫一封拜訪客人的預約函？

Dear AYA,

公司打算派我在下個月到日本拜訪客戶，因為之前沒有主動拜訪的經驗，不知該從何處開始著手才好？還有要傳 email 跟客人約時間的內容該怎麼寫，比較容易得到正面的回應呢？麻煩請妳解惑。謝謝！

拜訪客人應該有目的、有計畫、甚至有預期的成效，不知你的目的為何？計畫如何安排？預計達成什麼效能？而且客人也分為未成交過的潛在客戶與已經做過生意的客人，說詞可能不太一樣。你可以先大約整理一下，然後寫信到 AYA 的信箱，我們再來討論吧！

此次拜訪的對象以現有的客戶為主，因為以前都沒去拜訪過，做了幾年生意了，老闆希望能去客人那裡拜訪一下，順便介紹一些新產品。見面三分情，當然想順便多拿一點訂單及連絡一下感情囉！

請問 mail 內容該如何寫，比較容易讓客人同意我們的到訪？謝謝！

請參考以下內容：

Dear Mr. XXX,

How are you doing ?  We just came back from long lunar New Year holidays.  2009  is Ox year, we wish you active and prosperous just like the strong Ox.

如果剛好碰上過年後，可以致上年節的問候。

It has been a long period since our first cooperation, but we have never visited you so far. If available, we would like to visit your esteemed company during Mar. 1st ~ 7th, and the main purpose is to exchange the marketing information, introduce our latest products and express our sincere appreciation for your past support face to face. Surely, if there is any possible order you have in hand, we can discuss by means of this precious chance.

我們合作至今已有很長一段時間，但從未拜訪過貴公司，如果方便的話，我們想於 3 月 1 日至 7 日之間拜訪貴公司，主要的目的是交換市場情報、介紹我們的最新產品、並當面表達我們對貴公司長期支持的感激之意。當然如果你手邊剛好有訂單，我們也可以趁此機會討論。

Please kindly let us know which date and time will be convenient for you ? Or please kindly confirm if Mar. 2nd morning 10:00 will be free for you ?

請客戶告知方便拜訪的日期與時間，或由我方先行提出，再請客戶決定亦可。例如：請告知 3 月 2 日早上 10 點是否有空？

如果針對沒做過生意的客人，第二段內容可以改成以下寫法：

We are wondering if you will be free to have a meeting with us during Mar. 1st ~ 7th at your office ? My manager Mr. Lee and I are planning to visit your esteemed company, and wish to take this chance to introduce our latest products and exchange the marketing information face to face. We believe this meeting will be helpful for a mutual understanding, and hopefully, this will not bring you any inconvenience.

我們想知道你是否方便於  3 月1  日至 7 日之間在貴公司與我們會面？本公司經理李先生與我，計畫於這段時間內拜訪貴公司，盼藉此機會當面介紹本公司新產品並交換市場情報。我們相信這次的會面將有助於增進彼此了解，並希望不會造成你的不便。
